Hurley Gala Privacy, Photography and Filming Policy

Last updated: August 2026

Hurley Gala is committed to respecting your privacy and protecting your personal information.

This notice explains how we collect and use personal information in connection with the Hurley Gala, including information collected through our website, ticketing and enquiries, as well as photographs and video taken at the event.

1. Who We Are

Hurley Gala is a community event organised by Hurley Gala Committee.

For the purposes of UK data protection law, Hurley Gala Committee is the data controller for personal information that we collect and determine how to use.

If you have a question about this notice or how we use your personal information, please contact:

Email: hurleygala@outlook.com

2. Information We May Collect

Depending on how you interact with Hurley Gala, we may collect information including:

  • Your name

  • Your email address

  • Your telephone number where provided

  • Information you provide when purchasing or registering for tickets

  • Information contained in enquiries or correspondence with us

  • Information relating to volunteers, performers, suppliers, sponsors or other people involved with the event

  • Payment and transaction information, although payment card details may be processed directly by our payment provider rather than being accessible to us

  • Technical information collected when you use our website, including information collected through cookies where applicable

  • Photographs and video taken at Hurley Gala

We only collect information that is reasonably necessary for organising, administering, communicating about and promoting Hurley Gala.

3. How We Use Your Information

We may use personal information to:

  • Process ticket purchases and registrations

  • Administer admission to the event

  • Respond to enquiries

  • Communicate important information about Hurley Gala

  • Manage volunteers, suppliers, performers, sponsors and other event participants

  • Manage payments and financial records

  • Operate and improve our website

  • Meet legal, regulatory, insurance or accounting requirements

  • Help keep the event safe and appropriately managed

  • Promote Hurley Gala and future community events

  • Maintain an appropriate historical record of the Gala

We will not sell your personal information.

4. Our Lawful Bases for Using Personal Information

UK data protection law requires us to have a lawful basis for processing personal information.

Depending upon the circumstances, we may rely on:

Contract, where processing is necessary to provide something you have requested or purchased, such as an event ticket.

Legitimate interests, where it is reasonably necessary for organising, administering, protecting or promoting Hurley Gala and those interests are not overridden by your rights and interests.

Legal obligation, where we are required to retain or use information to comply with the law.

Consent, where we have specifically asked you to agree to a particular use of your information. Where we rely upon consent, you can withdraw it.

5. Photography and Filming at Hurley Gala

Photography and filming will take place at Hurley Gala.

Official photographs and video may be taken by members of the Gala organising team and photographers or videographers authorised by us.

These images may capture the atmosphere of the event, including entertainment, activities, groups of guests and general views of the Gala.

We may use appropriate photographs and video for purposes including:

  • The Hurley Gala website

  • Hurley Gala social media

  • Publicity for future Hurley Gala events

  • Printed promotional materials

  • Local media and community publications

  • Reporting on the event

  • Maintaining a historical archive of the Gala

Where we rely on legitimate interests for this use, our legitimate interest is documenting, reporting on and promoting Hurley Gala as a community event.

Attendance at Hurley Gala does not mean that you have consented to every possible use of an identifiable photograph of you.

6. If You Do Not Want to Be Photographed

We recognise that some people may not wish to appear in photographs or video.

If you would prefer not to be photographed by an official Hurley Gala photographer, please let a member of the organising team know when you arrive or speak to the photographer.

We will make reasonable efforts to respect your wishes.

Because Hurley Gala is a public community event, we cannot guarantee that you will not appear incidentally in the background of general crowd or event photographs.

We also cannot control photographs taken by other members of the public for their own personal purposes.

7. Children and Young People

We recognise the importance of taking particular care when photographing children and young people.

Official photographers will be asked to use appropriate judgement when photographing children and to concentrate primarily on capturing the event and its activities.

We will not normally identify a child by their full name alongside a photograph without an appropriate reason and permission.

Parents and guardians who do not want their child to be photographed by an official Hurley Gala photographer should make this known to the organising team.

Where a child is the specific or prominent subject of photography intended for a particular promotional purpose, rather than appearing incidentally as part of the wider event, we may seek appropriate permission before using the image.

8. Photography by Visitors

Visitors are welcome to take photographs and short videos for their own personal use.

We ask everyone attending Hurley Gala to respect the privacy and wishes of other guests, particularly when photographing children.

Photography and filming must not:

  • Interfere with the enjoyment of other guests

  • Obstruct activities or access

  • Create a safety risk

  • Be intrusive or inappropriate

Professional, commercial or media photography should be agreed with the Hurley Gala organisers in advance.

9. Requesting Removal of a Photograph

If Hurley Gala publishes an identifiable photograph of you or your child and you have concerns about its use, please contact us at hurleygala@outlook.com.

Please tell us which photograph you are referring to and where you have seen it.

We will consider your request promptly and, where appropriate, remove the image from channels under our control.

Please be aware that we may not be able to remove images that have already been published or independently reproduced by third parties outside our control.

10. Email Communications

If you provide your email address in connection with a ticket purchase or enquiry, we may use it to provide information necessary for administering Hurley Gala.

Where required, promotional or marketing communications will be handled separately and in accordance with applicable electronic marketing rules.

You can unsubscribe from marketing emails at any time using the unsubscribe facility provided or by contacting us.

11. Payments

Payments may be processed on our behalf by third-party payment providers.

Payment providers may collect and process information necessary to complete your transaction under their own privacy arrangements.

Hurley Gala does not intentionally retain complete payment card details where payments are handled directly by a payment provider.

Our current ticketing and payment providers are:

Wix

Paypal

Where personal information is transferred internationally, we will take reasonable steps to ensure that appropriate protections required by UK data protection law are in place.

Further information about international transfers relating to individual service providers can be requested from us.

15. How Long We Keep Your Information

We do not keep personal information for longer than reasonably necessary.

Different information may need to be retained for different periods depending upon why it was collected and whether we have legal, financial, insurance or administrative reasons for retaining it.

Routine event administration information will be deleted or anonymised when it is no longer reasonably required.

Photographs and video selected as an appropriate record of Hurley Gala may be retained for longer because of their promotional, community or historical value.

We will periodically review the information we hold and remove information that we no longer have a reasonable reason to retain.

16. Keeping Your Information Secure

We take reasonable measures to protect personal information against unauthorised access, loss, misuse or disclosure.

Access to personal information should be limited to members of the organising team and service providers who reasonably require it for their role.

  • The right to be informed about how your information is used

  • The right to request access to personal information we hold about you

  • The right to ask us to correct inaccurate information

These rights are not absolute and whether a particular right applies depends upon the circumstances.

Your Right to Object

Where we process your personal information on the basis of our legitimate interests, you have the right to object to that processing in certain circumstances.

If you wish to exercise a data protection right, please contact us at hurleygala@outlook.com.

18. Complaints

If you have concerns about how Hurley Gala has handled your personal information, please contact us first so that we have an opportunity to investigate.

You also have the right to raise a complaint with the Information Commissioner's Office, the UK's independent data protection regulator.

19. Changes to This Notice

We may update this Privacy, Photography and Filming Policy if our arrangements change or if we introduce new ways of collecting or using personal information.

The latest version will be published on the Hurley Gala website with the date it was last updated.
